YOUR INFORMATION
Your information is used to manage your appointment, provide and document care, protect access, communicate with you, deliver documents, and administer payments or refunds. Please share only information and files relevant to your care or requested service.
Messages and routine uploads are temporary. Issued documents and eligible doctor-retained files remain downloadable until 48 hours after final appointment completion, as shown in your patient hub. This is a download deadline, not a deletion date for medical or other retained records.
1. ABOUT THIS SERVICE
This teleconsultation service is an extension of Dr. Kevin Bigornia’s private medical practice. “Bigornia Medical” is the website name used for the Service on the website bigorniamedical.com.
In this notice, “the Service” refers to the teleconsultation service and its related appointment, clinical, access, support, and transaction functions. Dr. Kevin Bigornia is the personal information controller for personal information processed in connection with the Service.
For privacy questions or requests, email support at bigorniamedical.com using the subject “Privacy request” or contact 0917 405 6516. Requests will be directed to the designated privacy contact. Please do not include passwords, verification codes, payment credentials, or unnecessary medical information in your initial message.
2. INFORMATION PROCESSED
Appointment and contact information: Your name, date of birth, contact number, verified email address, occupation, address, appointment selection, and presenting concern.
Health and consultation information: Information provided for the consultation, clinical notes, messages, uploaded results or images, prescriptions, laboratory and follow-up requests, and requests for medical certificates and their stated purpose.
Eligibility information: Date of birth used for applicable senior-discount eligibility, and a PWD declaration and ID image when you request that discount.
Transaction and service records: Charges, discounts, payment and refund references or status, cancellations, rescheduling, document delivery, and acknowledgements. Payment or refund credentials entered on a provider-hosted page are handled through that provider rather than the Service’s booking form.
Access and technical information: Session cookies, verification and recovery records, device and browser information, connection details, timestamps, and security or audit records.
Support correspondence: Sender and recipient details, message content, attachments, and delivery records associated with support enquiries.
Information is obtained from you or your authorized representative, the treating doctor, relevant existing clinic records, and providers confirming service events such as payment or email delivery. Required and optional fields are identified in the interface.
3. PURPOSES AND BASIS OF PROCESSING
The Service processes information to administer appointments; identify the correct patient record; assess and document care; verify identity and appointment access; send service communications; issue and deliver appropriate documents; calculate charges and determine eligibility; administer payments, refunds, and appointment changes; protect the Service; and meet applicable recordkeeping requirements.
Processing is governed by Republic Act No. 10173, or the Data Privacy Act of 2012, its implementing rules, and applicable issuances. Non-sensitive personal information is processed as necessary to provide the requested service, comply with legal obligations, or support legitimate security and administrative interests where the legal conditions for those interests are met.
Health information is sensitive personal information. It is processed where necessary for medical treatment by a medical practitioner with appropriate safeguards. Other processing of sensitive information, including relevant eligibility and identification information, requires an applicable ground under Section 13 of the Act, such as specific consent, an applicable law or regulation, or the protection of life, health, or lawful rights under the conditions provided by law. Any processing that requires specific consent is subject to that consent.
The application applies published rules to appointment availability, charges, discounts, and cancellation or refund options, using relevant submitted details and appointment timing or status. These processes determine displayed charges and available service options. Clinical decisions and confirmation of patient-record matches are made by the doctor. Incorrect details or calculations may be referred to the Service for review.
4. ACCESS AND SERVICE PROVIDERS
Access to the online consultation workspace is limited to the treating doctor and the authorized patient or representative. Ordinary non-doctor staff accounts do not have access to the online consultation tools. The doctor may link the appointment to the appropriate clinic record for continuity of care.
Service providers receive information needed to perform their functions, including video consultations, payments and refunds, banking or wallet services, hosting, security, email, and notification delivery. Necessary technical access for authorized maintenance or incident handling is subject to access controls and confidentiality requirements.
Providers may use infrastructure within or outside the Philippines. Processing on behalf of the Service is subject to applicable confidentiality, security, and data-protection requirements. Provider-hosted payment and refund services also have their own privacy terms.
Information may otherwise be disclosed with appropriate authorization or where required or permitted by law, with disclosure limited to the relevant purpose. Consultation information is not sold.
5. VIDEO, COMMUNICATIONS, AND APPOINTMENT ACCESS
Video consultations use private, time-limited rooms. Recording, automated transcription, and screen sharing are not enabled by the Service.
Cookies and temporary browser data support appointment access, verification, and security. Camera and microphone permissions are requested for the relevant consultation functions.
Use an email address and device you control. Keep verification codes and appointment, document, and refund links private. Avoid leaving an appointment or inbox accessible to another person. Closing a browser tab may not end a saved session.
Information for another person should be submitted only with appropriate authority, such as by a parent or legal guardian where applicable. The Service may verify identity or authority before providing access or releasing records. An email-address match alone does not establish that authority.
Support email is handled through an external email provider and retained in the Service’s private systems. Doctor-authorized devices may receive appointment and support alerts through notification providers. Depending on the device’s settings, alerts may include patient names, appointment details, or support-message excerpts. Notification delivery may be delayed or unavailable.
Messages are not continuously monitored. Email and text support are not emergency channels.
6. DOWNLOAD AVAILABILITY AND RECORD RETENTION
Temporary messages and routine uploads become unavailable when the appointment closes and are removed through the Service’s cleanup process. Relevant findings documented by the doctor are retained as part of the clinical record rather than as a retained chat transcript.
Issued documents and doctor files marked for extended access remain downloadable until 48 hours after final completion. Please use the exact deadline displayed in your patient hub and save the available documents before it expires. Reopening the page, receiving another email, or paying a document fee does not extend that deadline.
Clinical, appointment, acknowledgement, transaction, support, and security records are retained separately from temporary download copies. Their retention reflects the relevant care, administrative, accounting, security, and legal purposes, including necessary preservation for lawful claims.
Backup copies follow their protected retention cycle. Information is securely deleted, disposed of, or anonymized when no longer needed for a lawful purpose. Necessary legal preservation may extend the applicable retention period.
The 48-hour download deadline does not determine the retention period for other records or remove applicable rights concerning information that the Service continues to hold.
7. INFORMATION SECURITY
The Service uses organizational, physical, and technical safeguards appropriate to the information processed. These include restricted access, verified appointment sessions, time-limited links and room access, protected storage, and security or audit controls.
Electronic access and communications remain subject to device, network, and security limitations. Please follow the access precautions above and contact the Service promptly about suspected unauthorized access.
8. PRIVACY REQUESTS AND CHOICES
Subject to applicable law, your rights include the right to be informed about processing, access your personal information, correct inaccuracies, object to processing, request blocking or erasure, and exercise data portability where applicable.
Privacy requests may be sent through the contact details in Section 1. Proportionate verification of identity or authority may be required to protect confidentiality. Requests are assessed under applicable law and recordkeeping requirements. Where a request cannot be fully granted, the Service will explain the applicable reason.
You may withdraw consent for processing that relies on consent. Withdrawal does not affect earlier lawful processing or require deletion of information that must be retained under another applicable legal basis. Where particular information or consent is necessary for the requested service, withholding it may limit the service that can be provided.
9. CONSULTATION ACKNOWLEDGEMENT
Online consultation does not permit a complete in-person examination. Depending on the concern and available information, the doctor may recommend an in-person assessment, tests, follow-up, or emergency care.
Prescriptions, medical certificates, and other clinical documents are issued only when clinically appropriate. Payment does not guarantee a particular diagnosis, medicine, or certificate.
The Service is not for emergencies or pre-employment medical examinations. For an emergency, seek immediate assistance from local emergency services or the nearest emergency department. Do not wait for a message reply.
Please provide accurate and relevant information to the best of your knowledge and promptly communicate material corrections.
By selecting the acknowledgement during booking, you confirm that you have read this notice, understand the consultation limitations, and are providing information about yourself or someone you are authorized to represent. The Service records the notice version and your acknowledgement.
Payment and appointment-change terms are set out separately in the Refund and rescheduling policy.
10. NOTICE UPDATES
Updated notices will identify their effective date and version. The Service will provide prior or additional notice and obtain a new acknowledgement or specific consent where required. Existing acknowledgement records remain associated with the notice version presented at the time.
